    The purposes of this policy are to (1) ensure that individuals or organizations are not solicited for charitable contributions at the same time by different College representatives, including employees, students and volunteers and (2) enhance fundraising efforts.

    The purposes of this policy are to (1) ensure that individuals or organizations are not solicited for charitable contributions at the same time by different College representatives, including employees, students and volunteers and (2) enhance fundraising efforts.

    1. All contact with current and prospective donors (those not employed by MHCC) for the purpose of raising money or gifts-in-kind in the amount of $100 or more per individual request must be authorized by the MHCC District Foundation Inc. in advance of the contact.
    2. All managers should inform their employees and any organizations for which they are responsible of the proper fundraising procedures.
    3. All students and student organizations raising funds in the name of the College must submit their plans to the Foundation Office through the vice president of student success and enrollment management or designee. Student organizations are not required to deposit their funds with the Foundation.
    4. College employees and volunteers must submit their plans to the Foundation Office through their manager and president’s cabinet member.
    5. The Foundation serves as a clearinghouse for all information pertaining to fundraising in the name of the College. The Foundation will:
      a. maintain a list of all monies and gifts requested; and
      b. keep the information current so that different organizations within the College are not constantly seeking funds from the same donor.
    6. Donors must be informed that it is their responsibility to determine a monetary value for their gifts-in-kind. All gifts of $5,000 or greater must be officially appraised at the expense of the donor.
    7. Donors should be advised that their gifts are tax-deductible, within the limits of IRS regulations and that they will receive an official acknowledgement letter from the Foundation. (Note: The Foundation is a 501 (c)(3) charitable organization.)

      When gifts-in-kind donations are offered to the College but are not solicited, the In-Kind Donation Form is completed before donations of equipment are accepted. The Foundation will accept and acknowledge the gift before granting the gift to the College. This policy applies to all persons, including employees, students, organizations, board members and volunteers, who plan to solicit non-MHCC employees, students, organizations and / or businesses on behalf of the College, for funding on MHCC’s behalf. Fundraising projects directed toward MHCC employees and students only are excluded from this policy (e.g. an employee who raises money on behalf of a co-worker who is experiencing a health crisis). This policy does not apply to students who are selling non-donated items to raise funds (e.g. a student organization that raises money by selling pottery created by students).

    8. Definitions
      1. A donor is a person or organization that has ever donated to the College or MHCC Foundation.
      2. A prospective donor is a person or organization that has never donated to the College or MHCC Foundation but may possibly give or be asked to give.
    9. MHCC Fundraising Procedure
      To seek permission to pursue a fundraising initiative that involves non-MHCC employees and non-students:
      1. Student requesters will complete and return the Student Life Office Request to Conduct Off-Campus Fundraising / Solicitation Form to the vice president of student success and enrollment management or designee at least four weeks before the start date of the proposed fundraising initiative. All other requesters will complete and return the Request to Conduct Off-Campus Fundraising / Solicitation Form to their manager and president’s cabinet member at least four weeks before the start of the proposed funding initiative. The Request to Conduct Off-Campus Fundraising / Solicitation Form is located on the Intranet.
      2. The vice president of college advancement will notify the applicant through e-mail if the request has been accepted or declined.
      3. No later than four weeks after the end date of the fundraising initiative, the requester will present the results of the fundraising initiative to the Foundation Office for processing of acknowledgement letters / receipts, who will in turn present the results to the vice president of college advancement.
