• Facility Rental Requirements and Guidelines

  • Facilities Rental Request Form

    Please submit all Facilities Rental Request Form a minimum of two weeks’ time before the date of your event to allow time for planning and processing.

    Facility Rental Requirements:

    • A 50% deposit is due 10 business days before the date of event.
    • Proof of insurance in the amount of 100,000 with MHCC listed as an additional insurer. View example of a certificate of liability.
    • Facility Use Contract signed and approved by all parties
    • Covid Plan for Use of Campus Facilities by Outside Organization agreement signed and approved by all parties.

    Facility Rental Guidelines

    • An estimated cost will be given prior to your event. The final invoice will be based on the actual event costs.
    • Fees vary depending on size and location of event.
    • Events may need to be staffed by MHCC site supervisors, at an additional cost, which will be determined by the Community Outreach and Event Coordinator.
    • Additional services may result in further charges. Event personnel needs and services are based on event logistics, which may include:
      • Public Safety needs
      • Custodial needs (set-up, take-down, and cleanup)
      • Day and time of event
      • Media equipment and IT services
      • Dining Services
    • Refreshments may be served at an event with approval. Catering must be provided by MHCC’s Catering Services, Riverview Restaurant. Please speak with the Community Outreach and Event Coordinator if you would like food and beverage services.
    • At least two weeks prior to your event, please provide a sample of advertising to the College’s Community Outreach and Event Coordinator for approval.
    • Mt. Hood Community College is not liable for loss or theft of personal property. Use of MHCC facilities is undertaken by the applicant at the applicant’s sole risk. Applicant expressly releases, indemnifies, and holds the college harmless from liability for any and all losses, costs, claims, injuries or damages whatsoever that could result from use of college facilities.


    The sale or consumption of alcohol is not allowed on any college property. MHCC’s President is authorized to enact regulations as appropriate and permitted by law regarding serving alcoholic beverages on campus or at fund-raising events held to benefit non-profit corporations. If you would like to serve alcohol at your event, please let the Community Outreach and Events Coordinator know as soon as possible. Alcoholic beverages may require a Special Events License from the Oregon Liquor Control Commission (OLCC). Inquire with OLCC at 503-872-5070 to determine if you need an OLCC Special Events License

    Cancellation Policies

    Canceling an event, changing your event date, or altering services requested will result in no refund or rebate unless the College is notified of event changes, at least ten business days before event.

    Mt. Hood Community College will not be held responsible for any interruptions, postponements or cancellations due to weather, national/state emergencies/declarations/mandates, power failure, or power interruptions caused as a result of rolling blackouts, etc., as mandated by outside agencies (i.e. Bonneville Power Administration). A fine of $50.00 per may be levied if policy is not adhered to.

    Tobacco Policy

    MHCC is a 100% tobacco free. Use of any tobacco products (smoking, vaping or chewing) is not permitted in any College facilities, College grounds, vehicles on College property and/or College-owned, rented or leased vehicles on or off any College location.

    Parking at MHCC

    Parking is free at all MHCC campuses.
